Look, I get it. You’re running a business in Brisbane, you’re flat out, and your calendar looks like a game of Tetris gone wrong. Between quoting jobs, managing the team, and actually talking to customers, the last thing you want to do is sit down at 6:00 PM and try to remember what you promised a client three hours ago.
That’s why everyone is talking about AI meeting assistants. You’ve seen them. Those little 'bots' that join your Zoom or Teams calls, record everything, and send you a summary.
But here’s the problem: most of them are rubbish.
I’ve spent the last six months testing these things at Local Marketing Group. I’ve had bots join the wrong meetings, bots that couldn’t understand a broad Aussie accent if their life depended on it, and bots that cost a fortune but did basically nothing.
If you’re looking to save time, you need to know which ones actually work and which ones are just going to annoy your customers. Let’s get into it.
The Big Mistake: Thinking 'Free' is Actually Free
Most small business owners start with the free versions of things like Otter or Fireflies. It seems like a no-brainer. Why pay when you can get it for nothing?
But here is the catch. The free versions usually have 'limited transcription minutes' or they don't let you export the notes properly.
Worst of all? Some of them put their own branding all over the invite. Imagine you’re trying to land a high-end renovation job or a big consulting contract, and your meeting invite looks like a spam sandwich because 'Otter.ai' has invited itself to the chat. It looks amateur.
In my experience, if you want this to actually work for your business, you have to be prepared to spend about $20 to $40 a month. If that sounds like a lot, ask yourself what an hour of your time is worth. If a bot saves you two hours of admin a week, it’s paid for itself ten times over.
Otter.ai vs. Fireflies vs. Fathom: The Honest Review
I’m not going to give you a massive spreadsheet of features. You don't have time for that. I’ll tell you how they actually feel to use.
1. Fathom (The One I Actually Use)
Fathom is the dark horse. For a long time, it was completely free for individuals, which was great. Even their paid 'Team' version is straightforward. The Good: It’s easy to set up. It records the video, not just the audio. And the 'highlights' feature is killer. You can click a button during the call to mark a specific moment as 'important' or an 'action item.'
The Bad: It can be a bit glitchy with Microsoft Teams sometimes. If your business runs entirely on Outlook and Teams, it might give you a headache.
2. Otter.ai (The Famous One)
Otter has been around forever. It’s the one most people know. The Good: The transcription is very fast. If you’re doing a lot of interviews or one-on-one chats, it’s solid.
The Bad: It struggles with the Brisbane accent. Seriously. I’ve seen it turn 'Yeah, nah, we can do that' into some very weird sentences. It also feels a bit 'clunky' compared to the newer stuff.
3. Fireflies.ai (The Smart One)
Fireflies is probably the most 'advanced' of the lot.The Good: It plugs into basically everything. If you use a CRM (the software where you track your customers), Fireflies can automatically dump the meeting notes straight into the customer’s file. That is a massive time saver.
The Bad: It’s expensive. To get the good features, you’re looking at the higher-tier plans.
Why Most People Fail With AI Bots
I see this all the time. A business owner signs up, invites the bot to every meeting, and then... never looks at the notes.
If you don't have a system for what happens after the meeting, you’re wasting your money. The bot is just a digital filing cabinet that you’re stuffing full of paper you’ll never read.
You need to make sure you’re actually using these tools to make more sales by following up on the action items the bot identifies. If the bot says 'Follow up with Dave about the tiles,' and you don't do it, the bot didn't help you.
"Most business owners treat AI like a magic wand, but if you don't give it a specific job to do, it just becomes another monthly subscription you forget to cancel."

The 'Creep' Factor: Don't Annoy Your Customers
This is the biggest mistake you can make.
You jump on a call with a new lead. Suddenly, a 'bot' joins the room. The customer hasn't been warned. They feel like they’re being recorded by the secret service. It kills the vibe immediately.
My advice? Always, always mention it in the calendar invite. Something like: 'I use an AI assistant to take notes so I can focus on our conversation. Let me know if you’d prefer I turn it off.'
Ninety-nine percent of people won't care. But that 1% who do will appreciate that you asked. If you’re worried about how AI is changing the way we talk to people, you should check out our take on AI voice cloning and how it can actually hurt your reputation if you aren't careful.
Is It Worth the Hassle?
Look, I’m a big believer in AI and automation for small businesses. We don't have the big budgets of the huge firms in the CBD, so we have to be smarter with our time.
If you spend more than 5 hours a week in meetings (Zoom, Teams, or Google Meet), an AI assistant is a no-brainer. It will save you hours of typing up notes and help you stay organised.
But if you only have one or two calls a week? Just use a pen and paper. Don't add another piece of tech to your life if you don't need it.
What Should You Do First?
Don't go out and buy the most expensive 'Enterprise' plan today.
1. Pick one (I recommend Fathom or Fireflies). 2. Run it on your internal team meetings first. See how it handles your voice. 3. See if the summaries actually make sense. 4. If it works, start using it with clients (after you’ve updated your invites to let them know).
